Planning doesn't always mean creating posts. Sometimes you need a quick reminder, a team heads-up, or an idea tied to a specific date without it turning into a full draft just yet. That's what calendar notes are for.
Notes live directly in your calendar view, attached to specific days, and can be private to you, shared with your team, or even with the client.
What are calendar notes
Calendar Notes are lightweight, date-specific sticky notes you can drop into any day in the month or week calendar view. Think of them as your planning layer. A place to capture reminders, block out important dates, or jot down ideas before they're ready to become posts.
A few things to know up front:
- Up to 160 characters per note
- Private by default, with an option to share with the team or client
How to create a note
- Go to your Calendar view
- Hover over a specific day and click the "Note" button (available for today and future dates)
- A new note appears, yellow by default, set to "Only me" visibility
- Click the color dot on any focused note to open the color picker. Choose from 6 preset colors to visually group notes by priority, theme, or owner.
Pro tip: Use a consistent color system with your team — for example, red for blockers, green for confirmed ideas, blue for team reminders.
- Start typing (up to 160 characters). The note auto-saves when you click or tab away, no save button needed
You can create as many notes as you need per day. They stack vertically inside the day cell.
Setting note visibility
Every note has three visibility options:
- Only me (default) — The note is private to you. A lock icon appears on the note
- Team only— The note is visible to all internal workspace members (not clients)
- Visible to all members — The note is visible to all workspace members (including clients)
A few things worth knowing:
- Only the note creator can toggle visibility — admins and owners cannot change someone else's note visibility
- Team notes only appear to others when they have content — empty team notes stay hidden
- Team members with edit permissions can edit team-visible notes
Only the creator or admins can delete a note.
Turning a note into a post
Got a planning idea that's ready to go live? When a note has text, a compose icon appears in the note's action bar. Click it to open the composer with your note text pre-filled — one click from idea to draft.
