Managing a content calendar involves more than just scheduling posts. You need space for team communications, planning reminders, content placeholders and workflow notes that keep everyone one the same page.
For the instances when you need to leave feedback on existing content, create placeholders for future posts, or store planning information that is relevant across multiple platforms, Planable has three approaches that cover all these use cases.
5 methods for adding notes in Planable
1. Internal comments*
*Available on the Pro Plan.
Add private notes to existing posts that only your team can see.
How to use internal comments:
1. Open any post in your Feed view
2. Toggle on the internal comment feature so that only internal team members will see these comments
3. Add your private note or reminder (internal comments appear with a yellow background to distinguish them from client-visible comments)
4. You can also filter your Calendar view to show only posts that have internal comments
Best for: Adding context, feedback or quick reminders to existing scheduled posts.
2. Post drafts
Create posts with note/reminder/placeholder content and save them as drafts.
Steps:
Create a new post and add your note, reminder, or placeholder content.
If the note/placeholder applies to multiple social media channels, you can use the sync feature to share it across platforms.
You can also mark the post as private (hidden from the client)*

If you want the note/placeholder visible for various days in the calendar, you can set it up as recurring
Choose from the daily, weekly, or monthly recurrence
Save it as draft
Once saved, the draft appears in your calendar view, but won't be published, serving as a note or placeholder for that time slot.
2.1 Pro tip - Add labels to organize your notes by topics or content types
This makes it easier to filter and find specific placeholders later.

When creating the draft post, add the relevant label(s).
You can also filter your Calendar view to show only your notes/ placeholders with a specific label attached.
Best for: Platform-specific reminders, content ideas for specific channels, or reserving time slots for future posts.
3. Campaigns as Event Placeholders
You can also create campaigns to serve as placeholders for events, product launches, or specific time periods in your calendar. This helps you block out important dates and organize related content around key moments in your schedule.
How to create a campaign placeholder:
1. From the Campaigns tab in the left sidebar
Navigate to the "Campaigns" section in the left sidebar.
Click on the "+ New campaign" button in the top-right corner to create a new campaign or on the gray section with "+ Create campaign".
2. From the post creation window (composer)
Click on "Campaign" at the top.
In the dropdown, select "Create new campaign" to start a new campaign.
Setting up your campaign placeholder:
Choose an icon & color for visual differentiation
Add a descriptive name (e.g., "Summer Product Launch")
Set campaign dates to block out timeline
Include relevant details and to-do lists
Your campaign placeholders will appear directly in the calendar view, helping you plan content around key dates.
3. Universal Content drafts
You can also create more general notes or placeholders that aren't tied to any specific social media platform.
Steps:
First of all, make sure you have a Universal Content page added to your workspace. Go to "Add page":
Select the Universal Content icon (rightmost icon)
And create a page
Now you can create your note, reminder, or placeholder content
