Find out how to change your workspace settings. Everything from the name and timezone of a workspace, to managing users, approval settings, to adding time slots, labels, and templates.
Workspace settings can be accessed from the top-left corner of your screen. Click on the workspace name (e.g., "Sample workspace") and from the dropdown menu that appears, locate and click the Settings option, indicated by the gear icon.
General settings
From the general settings, you can:
Change the workspace name
Add or update Website URL (for AI visibility data in analytics)
Change the timezone (posts will be published following the timezone set for each workspace)
Enable all new posts to be set as internal (hidden from clients)*
Enable not to show users' emails for client users
Delete the workspace
Brand context
Brand context is a living brand guide for your workspace — a rich-text editor with four sections that Planable's AI uses automatically to keep generated content on-brand:
Company description – what the company does
Products & services – the main products or services the brand offers
Tone of Voice — how your brand should sound
Brand Values — the principles that guide your messaging
Approved Terminology — words and phrases to use (or avoid)
Audience — who your brand is speaking to
Owners, Admins, and Editors can edit brand context; Approvers can view it, and clients can view it only when visibility is enabled. Your entries save automatically. Once saved, brand context is applied automatically to AI actions like Generate, Generate from posts, Rewrite, and Continue writing (it uses up to 4,000 characters, so keep it concise).
User settings
Invite and manage users. You can:
Manage existing users (switching their membership or deleting users)
Update their permissions
Adjust their email notification options
Approvals
An approval workflow encompasses all the different settings that a Workspace has in place to make sure the approval process works as closely to the user's wishes as possible. You can set:
The preferred approval type for each workspace (none, optional, required or multi-level)
Which users have the permission to approve
Content to be locked after approval (can't be edited by anyone after it's approved)
Sending auto-reminders to approvers for posts they haven't approved yet
Templates
Templates allow you to save time by reusing pre-designed content layouts. Instead of starting from scratch for each post, you can use a template to quickly populate your post with a consistent format.
For recurring campaigns, announcements, or types of posts, templates simplify the process by providing a ready-made structure.
By managing and categorizing templates, you can organize your content creation process more effectively, keeping commonly used formats readily accessible.
Labels
You can organize your posts with labels. With our labels, you can categorize your posts in a breeze. A single post can have multiple labels and can be filtered by whatever strikes your fancy: sales, product updates, promotion, you name it!
To change the label name and color, click on the "Edit label" icon.
Timetable
We know how frustrating it can be for frequent publishers with a weekly schedule to pick a date and time for each individual post. Take a minute to set up your workspace timetable and stay on top of the weekly schedule, like a champ.
