Learn how to add notes, reminders or placeholder content in Planable
Managing a content calendar involves more than just scheduling posts. You need space for team communications, planning reminders, content placeholders and workflow notes that keep everyone one the same page.
For the instances when you need to leave feedback on existing content, create placeholders for future posts, or store planning information that is relevant across multiple platforms, Planable has three approaches that cover all these use cases.
1. Calendar notes
The most direct way to add a note in Planable: drop a quick sticky note onto any day in your month or week calendar. This is not associated with any page.
How to create a calendar note
- Go to your Calendar view (Month or Week)
- Click the "Note" button in any day cell (today or future dates)
- Type your note, up to 160 characters, auto-saved when you click away
- Optionally: color-code the note using the color dot, or share it bu changing its visibility to "Team" or "Everyone in the workspace"
When your note is ready to become a post, click the compose icon that appears on the note to open the composer with your text pre-filled.
Best for: Quick planning reminders, date ideas, or team heads-ups that don't need to be full posts yet.
2. Internal notes
*Available on the Pro Plan.
Add private notes to existing posts that only your team can see.
How to use internal comments:
1. Open any post in your Feed view
2. Toggle on the internal comment feature so that only internal team members will see these comments
3. Add your private note or reminder (internal comments appear with a yellow background to distinguish them from client-visible comments)
4. You can also filter your Calendar view to show only posts that have internal comments
Best for: Adding context, feedback or quick reminders to existing scheduled posts.
3. Draft posts
Create posts with note/reminder/placeholder content and save them as drafts.
How to create draft posts

Create a new post and add your note, reminder, or placeholder content.
If the note/placeholder applies to multiple social media channels, you can use the sync feature to share it across platforms.

If you want the note/placeholder visible for various days in the calendar, you can set it up as recurring
Choose from the daily, weekly, or monthly recurrence

Save it as draft
Once saved, the draft appears in your calendar view, but won't be published, serving as a note or placeholder for that time slot.
Pro tip: add labels to organize your notes by topics or content types
This makes it easier to filter and find specific placeholders later.

When creating the draft post, add the relevant label(s).
You can also filter your Calendar view to show only your notes/ placeholders with a specific label attached.
Best for: Platform-specific reminders, content ideas for specific channels, or reserving time slots for future posts.
4. Campaigns
You can also create campaigns to serve as placeholders for events, product launches, or specific time periods in your calendar. This helps you block out important dates and organize related content around key moments in your schedule.
How to create a campaign placeholder
1. From the Campaigns tab in the left sidebar
Navigate to the "Campaigns" section in the left sidebar.
Click on the "+ New campaign" button in the top-right corner to create a new campaign or on the gray section with "+ Create campaign".
2. From the post creation window (composer)
Click on "Campaign" at the top.
In the dropdown, select "Create new campaign" to start a new campaign.
Setting up your campaign placeholder:
Choose an icon & color for visual differentiation
Add a descriptive name (e.g., "Summer Product Launch")
Set campaign dates to block out timeline
Include relevant details and to-do lists
Your campaign placeholders will appear directly in the calendar view, helping you plan content around key dates.
5. Universal content post drafts
You can also create more general notes or placeholders that aren't tied to any specific social media platform.
How to create a universal content draft

First of all, make sure you have a Universal Content page added to your workspace. Go to "Add page":

Select the Universal Content icon (rightmost icon)
And create a page

Now you can create your note, reminder, or placeholder content

You can now filter your Calendar view to show only your notes/ placeholders.
Here are a few examples:
Content placeholders - "TBD: Customer testimonial post"
Status updates - "HOLD any posts: Waiting for influencer partnership confirmation"
General content notes - "Remember to include hashtag #campaignhashtag this week"
Team reminders - "Reminder: Switch to new brand guidelines starting Monday"
Workflow notes - "Can't post anything on [subject name] until PR announcement goes live"
6. Syncing external calendars
Sometimes the best planning context isn't something you write, it's events already happening in your other tools. By syncing an external calendar (Google Calendar, Outlook, Notion Calendar, and more), you can display those events directly in your Planable calendar and plan content around them.
How to connect an external calendar
- Go to your Calendar view
- Click the "Add calendar" icon in the calendar header
- Paste your calendar's public iCal (.ics) URL — here's how to get it for Google, Outlook, and Apple Calendar
- Give the calendar a name and choose a color
- Set who can see it:
- Private — Only you
- Team only — Internal members only (hidden from clients)
- All workspace members — Everyone, including clients
- Click Add calendar — events will appear immediately in your Week and Month views
Supported calendars: Google Calendar, Microsoft Outlook, Apple Calendar, Zoho, Yahoo, Calendly, Notion Calendar, Cal.com, Luma, Eventbrite, Basecamp, and any calendar with a public iCal URL.
Managing your external calendar:
Once connected, click on the calendar in your view to rename it, change its color, update visibility, manually refresh it, or remove it. External calendars auto-refresh once per day.
📌 Note: Past events display up to 1 year back. Future non-recurring events show up to 6 months ahead; recurring events up to 3 months ahead.
